## _About the Unit_
About The Unit: UChicago Dining is a new department formed to administer all foodservice contracts between campus entities (clients) and the University. It serves as communications conduit between contractor and client, and as the primary contact for all 'One Card' dining initiatives and dining program maintenance. UChicago Dining coordinates all proposed feasibility analysis, remodeling and new projects in conjunction with Facilities Services, the Campus Architect and client organizations. The above statements are intended to describe the general nature and level of the work being performed by the person assigned to this job. This is not an exhaustive list of all duties and responsibilities associated with the Dining Operations Manager's position.
## _**Job Information**_
**Job Summary:**
The University of Chicago seeks an energetic and resourceful professional to provide managerial operational and services duties to the UChicago Dining department. The person in this position will report to the Director for Dining Operations and Services and will assist in ensuring vendor contract compliance, quality assurance, culinary excellence, customer service, and systematic verification of the implementation of best practices in dining by the vendor. The Dining Operations Manager will also assist the Director in analyzing anecdotal and customer feedback performance data on the quality of food service in order to ensure there is continuous improvement in processes and programs. The Dining Operations Manager will work with the Director and the Dining Operations Associate to assist in the verification of the Corrective Action Plan (CAP) for all safety, sanitation, environmental, facility, pest, and health inspections/assessments.
**Responsibilities:**
* Assist the Director in creating a vibrant and culinary diverse dining program that fosters community throughout the campus.
* Assist the Director in the assessment and development of meal plans which provide portability and flexibility for students, faculty, and staff.
* Assist the Director in ensuring that UChicago dining operations maintain the sense of belonging between various academic units, schools, and divisions throughout the campus.
* Assist the Director in ensuring that the dining vendor participates in and supports all University diversity, social justice, and sustainability initiatives.
* Assist the Director in all facets (i.e. planning, compliance, execution and analysis) of Project Management (i.e. reconfigurations, remodel, and new building projects).
* Assist the Director in coordinating and recording all ASSHE STARS (Association for Advancement of Sustainability in Higher Education Tracking, Assessment, and Rating System) requirements with the Office of Sustainability for UChicago Dining.
* Assist the department goals in the areas of marketing, advertising, programming, and social media.
* Provide assistance to the Director by managing the department's sub-access to the Asset Management System (Currently Maximo) and continuously improve the process of communicating, monitoring and discerning needs for escalation of submitted Service Requests, Work Orders, maintenance and inventory.
* Create daily, weekly, quarterly and yearly status updates and reports with data analysis for efficiency and budget decisions.
* Assist the Director in creating systemization, codification, coordination, and maintaining of a sustainable and reliable preventive maintenance program for UChicago Dining.
* Manage the oversight and coordination of the budget and allocation of funds for the Recognized Student Organization (RSO) by maintaining the weekly, quarterly and yearly reconciliation of the Recognized Student Catering Fund Budget. Manage all administrative duties associated with the Recognized Student Catering Fund Budget. (i.e. website, correspondence, menu changes and or updates & etc.) including but not limited to:
* All website reconfiguration and menu updates- collaboration with Director of Catering
* All correspondence from students and organization members (i.e. application receipt,
clarification of event details, coordination of logistics with Bon Appetit, menu and
cost analysis, tracking and reconciliation of funds allocated)
* Provide designated quarterly and annual departmental progress reports to Directors.
* Manage baseline policy and procedures for mapping process in operations and services.
* Create and effectively manage historical document system that will record and keep all daily, weekly and or monthly notes, observations and recaps submitted from all of UChicago Dining locations. Utilize contract between UChicago Dining and Bon Appetit to assist in the monitoring of contract compliance (3rd party vendors and etc.).
* Assist the department by maintaining active knowledge of Info Centre, a second asset management system set for warranties only at Campus North. Decipher, enter and monitor service requests and work orders with Facilities Manager and Mortenson.
* Coordinate schedule with Dining Operations Associate to provide oversite to the locatinos, primarily on nights and weekends.
* Oversee the Externship Programs for Culinary, Pastry, Baking, and Hospitality. Responsibilities associated with, but are not limited to, attending employer spotlights and career fairs at various Culinary Schools, coordinating interviews, follow-ups and decisions to process with Externship Candidates in collaboration with Bon Appetit Management. Provide periodical progress reports to the department Directors.
* Assist the Director of Operations and Services in the development and progress of the Professional Etiquette Program.
* Work collaboratively with the Assistant Director of Operations by attending and apprising the department of specified monthly meetings (i.e. Resident Dining/Campus Housing, Dining Committees, and Smithereen).
* Assist Director in managing oversight of Eco-Digester maintenance and vendor compliance.
* Visit all dining locations at least once a week to assess, monitor, and ensure the maintenance of industry compliance standards and provide observations in a weekly report. Manage observations for accurate record keeping.
* Assist in the maintenance and servicing of programmatic benchmarks, surveys (such as NACUFS, Mystery Diners, Food Trucks, etc.), goals and objectives for UChicago Dining and the vendor.
* Assist the Director in ensuring vendor compliance with all health department, HACCP, OSHA, and university policies and procedures. (i.e.) Researching Laws through FDA, Illinois and city.
* Monitor Pest Management activities at all dining locations (residential, retail, catering, commissary).
* Provide oversight to the Dining Operation Associate on the verification process of all internal audits and consequential inspections conducted by the City of Chicago Department of Public Health, Pest Management Company, Pest Conducive Reporting, and Third Party Inspection companies.
* Keep abreast of new concepts, practices, and trends in food service technology as they relate to institutions of higher education. Attend functions and events internally and externally to network on and off campus for future departmental development.
**Competencies:**
* Demonstrated understanding of the developmental objectives of the college student residential environment required.
* Demonstrated knowledge of proficient customer service skills, reception/front desk services and functions in a residential or hospitality setting.
* Excellent multi-tasking skills. Ability to work on multiple(non-connected) projects simultaneously, set priorities, and meet deadlines.
* Knowledge of the University of Chicago, or the higher education field.
* Proficiency with Windows based computers, including the Microsoft Office Suite (Word, Excel, PowerPoint, Publisher, and Outlook).
* Excellent oral and written communication skills required.
* Excellent organizing skills, detail oriented, focused, proficiency in time management.
* Ability to quickly study necessary programs (CBORD, info center).
* Ability to manage tasks and work independently with minimal supervision.
* Ability to acclimate to various weather conditions and withstand constant motion (Check for verbiage ADA approved).
* Intermediate knowledge of Social Media Avenues with basic knowledge of social media and website management.
* Intermediate knowledge of Project Management.
* Demonstrated experience in referencing and implementing FDA Code, state, city and local regulations.
* Demonstrated intermediate knowledge of drafting operational procedures.
## _Additional Requirements_
**Education Experience or Certifications:**
**Education:**
* A Bachelor's degree or an applicable 4-year degree in Business Administration, Food Service or Hospitality Management, Culinary Arts, Inventory Assessment, and/or equivalent years of experience (i.e. Multi-unit food management).
**Experience:**
* At least four (4) years of Food Service experience.
* Minimum one (2) years of higher education dining experience **preferred**, depending upon formal degree or training.
* Proven knowledge of food trends with a focus on quality, production, sanitation, food cost controls, and presentation.
* Having a culinary background is preferred.
* At least two (2) years of applicable Catering experience & basic reconciliation knowledge.
**Licenses and Certification:**
* ServSafeŽ certified (Current)
* ServSafeŽ manager certified (Current)
**Technical Knowledge of Skills:**
* Strong computer skills including knowledge of spreadsheets and database applications.
* Experience with client/PC workstation applications.
* Proficiency with Windows based computers, including the Microsoft Office Suite (Word, Excel, PowerPoint, Publisher, and Outlook) required.
**Working Conditions and Physical Requirements:**
* Eating at the various dining venues of UChicago Dining is a requirement of this position. The Dining Operations Manager will be provided a meal plan that will enable s.e to be part of the team that ensures that the dining vendor is in compliance with contract expectations and is attaining the quality standards expected by the campus.

* Ability to stand, sit, or walk for 4 hours or more.
* This position requires quite a bit walking to assess the dining operations at venues across campus.
